UrbanVetSolutions ("we", "us", "our") is a technology service provider based in India. We operate the website www.urbanvetsolutions.com and provide a fully managed pet vaccination and deworming reminder system for veterinary clinics across India.

2. Information We Collect
We collect different types of information depending on who you are and how you interact with our system.
2a. Veterinary Clinic Owners / Administrators
- Clinic name, logo, and branding details provided during setup
- Contact email address and WhatsApp/phone number
- Admin password (stored in hashed form — never as plain text)
- Staff PIN (used for staff dashboard access)
- Custom vaccine types and reminder template preferences
2b. Pet Owners (Clients of Veterinary Clinics)
- Pet owner name and contact details (phone/email) entered during registration
- Pet name, species, breed, and date of birth
- Vaccination history and due dates
- Deworming records and schedules
- Unique 6-digit pet registration ID (system-generated)
2c. Website Visitors
- Browser type, device type, and approximate geographic region (via Google Analytics, if enabled)
- Pages visited and time spent on site
- Referral source (e.g., Google search, WhatsApp link)
We do not collect payment card details. All payments are processed directly via UPI, bank transfer, or third-party payment platforms and are not stored on our servers.
3. How We Use Your Information
Information collected is used exclusively for the following purposes:
- Setting up, configuring, and operating your clinic's vaccination reminder system
- Sending automated vaccination and deworming reminder emails to registered pet owners
- Enabling staff to send WhatsApp and SMS reminders via the staff dashboard
- Authenticating admin and staff logins securely
- Providing annual maintenance, system health checks, and technical support
- Communicating with clinic owners about system updates, renewals, or issues
- Improving our website and services based on aggregated, anonymous usage data
We do not use your information for advertising, profiling, or any purpose beyond operating the reminder system for your clinic.
4. Data Storage & Security
All clinic and pet owner data is stored in a private, encrypted database. We implement the following security measures:
- HTTPS encryption on all connections between users and the system
- Hashed passwords — admin passwords are never stored as plain text
- Session expiry — admin sessions expire after 8 hours; staff sessions expire after 24 hours
- Brute-force protection — login delay mechanisms prevent automated guessing attacks
- Private data access — pet records are accessible only via the unique 6-digit registration ID; no owner can view another owner's records
- Activity audit logs — every action (reminder sent, login attempt) is timestamped and logged
Your clinic's data is stored in a database that only you can access. UrbanVetSolutions does not retain administrative access to your client records after the system is handed over to you.
5. Data Sharing
We do not sell, rent, trade, or share your personal or clinic data with any third party for commercial purposes.
Limited data sharing occurs only in the following situations:
- WhatsApp (Meta): When your staff taps the WhatsApp reminder button, a pre-filled message is opened in WhatsApp. UrbanVetSolutions does not control or store WhatsApp message delivery data.
- Email delivery: Reminder emails are sent via an email service provider. Only the recipient email address and reminder content are transmitted — no other personal data is shared.
- Legal obligation: We may disclose data if required to do so by applicable Indian law, court order, or a competent government authority.
6. Cookies & Analytics
Our public website (www.urbanvetsolutions.com) is hosted on Blogger (Google). Google may set cookies as part of the Blogger platform for analytics and functionality purposes.
We may use Google Analytics to understand how visitors interact with our website. This data is aggregated and anonymous — it does not identify individual users. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.
The clinic system (admin panel, staff dashboard, pet owner portal) uses session cookies strictly for authentication. These cookies expire when your session ends or after the defined session timeout period.
7. Third-Party Services
Our system and website interact with the following third-party services. Each has its own privacy policy:
- Google Blogger — website hosting platform (Google Privacy Policy)
- Google Fonts — font delivery via Google CDN
- WhatsApp (Meta) — used for one-tap reminder messaging by clinic staff
- Email service provider — used for automated vaccination and deworming reminder delivery
UrbanVetSolutions is not responsible for the privacy practices of these third-party services. We encourage you to review their respective policies.
8. Your Rights
As a clinic owner or pet owner using our system, you have the following rights:
- Access: You may request a copy of the data we hold about you or your clinic.
- Correction: You may request correction of inaccurate or outdated information.
- Deletion: You may request deletion of your clinic's data or a pet owner's record from the system.
- Withdrawal: Clinic owners may discontinue use of the system at any time. Upon written request, we will delete all associated data.
- Portability: You may request an export of your clinic's pet and owner data in a readable format.

9. Children's Privacy
Our services are designed for veterinary clinics and adult pet owners. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has submitted personal information through our system, please contact us immediately and we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or security practices. When we do, we will update the "Last Updated" date at the top of this page.
For significant changes, we will notify active clinic owners via email or WhatsApp. Continued use of the system after changes are posted constitutes acceptance of the revised policy.
